Microsoft Teams Rooms as the standard
Rooms join Teams meetings from the calendar with one touch, are licensed and managed through your Microsoft 365 tenant, and can still join other platforms as a guest where the room system supports it.

Enterprise video conferencing solutions
One platform standard, a small set of certified room designs, central device management and support after go-live. We help organisations deploy and run video conferencing consistently across every room and office.
The business problem
Most organisations did not plan their video conferencing estate. Rooms were added one at a time, by different teams and suppliers, and each one works a little differently.
The result is an estate IT cannot see or support: different join methods in every office, unassigned licences, devices on old firmware and no way of knowing a room is down until a meeting fails. Fixing it is a standardisation and deployment problem, not a shopping list. If you are equipping a single room, start with choosing the right video conferencing system for a room.
Signs you need a standard
Enterprise platform strategy
The platform your people use for most internal meetings should decide how your rooms are built. We help IT, facilities and leadership agree that standard and document it.
Rooms join Teams meetings from the calendar with one touch, are licensed and managed through your Microsoft 365 tenant, and can still join other platforms as a guest where the room system supports it.
Rooms run Zoom natively with a touch controller and scheduling display, are licensed per room and are managed centrally from the Zoom admin portal, with calendar integration to Microsoft 365 or Google Workspace.
Where client and partner calls use other platforms, we keep one native standard and add a defined guest method, such as a BYOD input in client-facing rooms, instead of running two platforms side by side.
Platform deployment
The room hardware is only part of the job. Most deployment effort sits in accounts, licensing, configuration and management, which we plan with your IT team.

Meeting room standardisation
A room standard is a documented package, not just a list of equipment. It lets every office build, support and expand rooms the same way. The equipment inside each tier is covered on our huddle room, meeting room and boardroom pages.
| Standard element | What we define | Why it matters |
|---|---|---|
| Room tiers | Two to four room types mapped to size and use | New rooms are chosen, not designed from scratch |
| Approved hardware | Certified kit list per tier, with approved alternates | Supply issues do not break the standard |
| Accounts & naming | Room account, display name and location convention | Users find rooms, and IT finds devices |
| Licensing | Licence type per tier and who assigns it | No room goes live unlicensed |
| Network profile | Ports, VLAN, QoS and PoE requirements per room | Sites are ready before installers arrive |
| Security baseline | Account policies, update rings and local access | Devices pass security review first time |
| Acceptance test | Test calls, audio checks and sign-off checklist | Every room is proven the same way |
| Documentation | As-built drawings, device register and user guide | Support does not depend on one engineer |
IT readiness
Each room needs its own resource account and a room licence for its platform. We prepare the account list and licence plan with your administrators and confirm current licensing terms with your platform provider or reseller before rollout.
Rooms are enrolled in the platform or manufacturer management portal, so IT can see status, push updates, change settings and restart devices remotely instead of sending someone to site.
Rooms need reliable wired connections, and larger estates benefit from a dedicated AV VLAN, QoS for media traffic and PoE where devices need it. We share a network checklist based on your platform's published requirements.
We follow your security policies for room accounts, device access and update schedules, and document every device so your security team can review the estate before it goes live.

This rollout covers the video conferencing platform and its rooms. If you are planning a wider programme across several sites, including displays, signage, audio, procurement and service levels, see our multi-site AV rollout programmes.
Monitoring and support
An estate stays reliable only if someone owns it. We can monitor rooms, manage updates and respond to faults as part of an AV support contract.
Support options are covered in detail on our corporate AV AMC and maintenance page.

Products are selected after the room is designed, not before. These are examples from our video conferencing room systems range.
